Key Responsibilities

Under the direction of the Police Information and Evidence Management Manager, supervises the Data Quality and Case Management Clerks, and performs a variety of duties related to verifying and extracting data maintained on the automated record keeping system of the Regina Police Service.


(1)    Responsible for the compilation and distribution of statistics generated from IEIS as requested, utilizing logical report writer statements as necessary to retrieve information required. Compiles monthly and annual statistics for Executive Management and the Police Commission.
(2)    Ensures the accuracy of all work completed by PIEM Data Quality staff and the provision of feedback to other IEIS users to ensure the integrity of the Regina Police Service's incident reporting and storage system through monitoring, feedback, and training.
(3)    Oversees the training and development of all IEIS users and acts as a resource regarding reporting and police information management procedures. 
(4)    Maintains and updates information contained in the tables and templates of the IEIS system.
(5)    Completes annual performance evaluations on staff and provides input and recommendations with respect to hiring, promotion, and progressive discipline.
(6)    Reviews system edits and Statistics Canada edits generated by the IEIS system and performs the necessary corrections to police records.
(7)    Provides general problem-solving support to Records Management with respect to IEIS and Incident based reporting problems.
(8)    Troubleshoot and provide advice on all aspects of IEIS operation to all IEIS users. Completes special projects as assigned by the manager.
(9)    Verifies all RPS data; monthly and annually, meeting all CCJS, Statistics Canada, and UCR requirements. 
(10)  Liaise with both inside and outside departments on a regular basis regarding data requirements and configuration of the IEIS program to meet those requirements.
(11)  Other related duties as required.

Competencies

(1)    University degree in Business or Public Administration or a certified Records Manager or Health Information Professional designation or equivalent.
(2)    Thorough knowledge of IEIS with the ability to formulate logic-based statements to retrieve data from a relational database, access maintenance files, edit functions and run reports.  
(3)    Thorough knowledge of incident based reporting with the ability to access and modify Police Information System administration to ensure information integrity.
(4)    The ability to test and analyze system and statistical solutions to ensure accuracy and integrity.
(5)    The ability to learn and retain information (i.e.: terminology, rules, regulations and procedures) for a particular line of work, specifically Criminal Code, crime classes, TSA, etc.).
(6)    The ability to understand the requirements of incident-based reporting, including Statistics Canada's reporting and scoring rules. 
(7)    Experience and ability in understanding and managing electronic information management systems.
(8)    The ability to apply the knowledge learned to work situations and circumstances.
(9)    The ability to utilize Windows based software, specifically word processing, spread sheet software and report writing software with a minimum typing ability of 50 w.p.m.
(10)  The ability to coordinate work schedules and time for maximum efficiency and productivity.
(11)  The ability to deal with incoming calls and persons in a friendly, efficient and professional manner.
(12)  The ability to retain and retrieve documents in an easy, efficient manner
